Kronberg Urbanists + Architects (KUA) is a boutique, multidisciplinary design studio based in Atlanta, GA that utilizes expertise in architecture, urban design, policy making, and real estate development to create flourishing neighborhoods. We began as architects, but successful redevelopment requires not just good buildings, but a deep understanding of zoning, site design, mobility, equity, and redevelopment finance. We’ve spent the last twenty years collaborating with municipalities, development authorities, nonprofits, community land trusts, and mission-driven for-profit developers to cultivate attainable housing and thriving neighborhood centers. Beyond our foundational focus on adaptive reuse, we also work in neighborhood redevelopment, urban infill, and housing choice. Our goal is to help our partners realize projects that achieve financial, social, and environmental success.
Description
The Studio Operations Coordinator will collaborate with our architecture and urban design teams on marketing, billing, and administrative operations through cross-team collaboration, hands-on production, and detailed data management. KUA is looking for a team member who is organized, likes variety in their work, and takes initiative. The full-time position is based in our Atlanta studio and is primarily in-person to support in-office and remote team members. The first six months are in-person to support onboarding and training. After this period, hybrid work arrangements may be considered based on performance.
Responsibilities
Marketing responsibilities (1/3 of time), range from hands-on production to strategic system-level coordination. Responsibilities include creating written and graphic content for newsletters, public presentations, and social media. This role also supports business development efforts through RFQ/RFP responses and award submissions. The role also covers maintenance of marketing systems and digital platforms, including firm templates and our Housing Choice Catalog. A key part of this role is coordinating information, deadlines, and deliverables between the architecture and urban design teams to ensure the firm’s public-facing communication is consistent with our established voice and brand.
Communication and Graphics
Produce marketing imagery, graphics, and visuals
Draft and edit written content to ensure clarity, consistency, and alignment with the firm’s established voice for newsletters, blogs, team bios, project descriptions, and boilerplate language
Develop presentation materials for public-facing engagements including municipalities, community meetings, committees, and professional organizations
Maintain and update firm website
Maintain the firm's social media presence through project updates, blogs, and firm announcements
Business Development Support
Draft RFQ/ RFP responses, proposals, and award submissions
Coordinate professional photography for projects, events, and headshots
Marketing Systems
Coordinate day-to-day marketing materials, deadlines, and workflows
Maintain and update templates for proposals, project sheets, and resumes
Manage updates to the Housing Choice Catalog
Billing responsibilities (1/3 of time) include detailed data entry, standardized reporting, tracking workflows and deadlines, and coordination of monthly billing activities between project managers, staff, clients, and vendors. This role does not include financial management of the firm. The Billing Manager and firm leadership are responsible for financial oversight, invoicing, bookkeeping, and accounting responsibilities.
Billing Workflow Coordination
Complete project set-up in accounting software for budgets, billing structure, and contact information
Coordinate monthly billing calendar by tracking key deadlines and following up with clients, vendors, and staff on required information
Monitor timesheets and follow up with staff to ensure complete and timely entries
Monitor invoices and follow up with Project Managers to ensure completion
Billing Data and Reporting
Prepare and distribute standardized billing reports for leadership review
Track ongoing accounts receivable for retainers, outstanding invoices, and account status
Draft reimbursable reports for review
Compile monthly reporting packages for review by the billing manager and principal including billing summaries, utilization reports, and PTO tracking data
Administrative responsibilities (1/3 of time) include the day-to-day operational tasks required to keep the office running smoothly. This role leads coordination for shared administrative needs, office organization, scheduling, supplies, systems, documentation, and general office support. It also covers ownership of routine administrative tasks, identifying priority needs, and distributing tasks among staff and interns when additional support is needed.
Office Operations
Serve as the primary contact for general office needs and receive visitors during business hours
Coordinate office upkeep, shared-space responsibilities, cleaning services, and facility maintenance
Run office errands and supply pickups or deliveries as needed (e.g., print shops, office suppliers, mail services), with mileage and related expenses reimbursed according to firm policy.
Procure and organize material libraries, office supplies, and snacks
Plan firm marketing events, office gatherings, and social functions
Coordinate with staff and industry partners to schedule internal design charettes and firm field trips
Internal Processes
Set up and maintain software subscriptions, digital tools, office systems, and workspace equipment
Manage recurring processes like licensure renewals and subscriptions
Maintain office documentation, including the firm handbook and operational reference materials
Organize and maintain digital and physical filing systems with Project Managers and staff
Team Coordination
Assist in intern management by gathering tasks from staff and organizing work assignments
Coordinate with staff on extracurricular activities such as conferences, leadership initiatives, professional organizations, lectures, panels, etc.
Coordinate with industry professionals to schedule continuing education sessions and lunch and learns
Application Requirements
5+ years’ relevant experience
Candidates with backgrounds in planning, interior design, graphic design, marketing, communications, English, business administration, or related fields are encouraged to apply. Some form of post-secondary is preferred, but no specific degree or field of study is required. The ideal candidate will demonstrate strong graphic, communication, and administrative skills

Software Requirements
High level of proficiency in Adobe Suite (specifically InDesign) and Microsoft Office
Additional programs used for the position are Bluebeam Revu, Deltek Ajera (billing software), Google Sheets, Notion, and Wix website platform; knowledge of these programs are not required prior to joining
